February 2012 Event

Everything Need to Know About CRM.

New Jersey siblings Lucy Rieger, MLS, CRM, Sofia Empel, MLIS, CRM, CDIA+ and Henry Gozdz, MLS, CRM (now this is a family who takes good records management practices seriously!) - presented a panel discussion and everything members need to know to be successful in becoming a Certified Records Manager (CRM).

 This included:

  • -          Why did they each choose to become a CRM
  • -          What steps each took to get certified
  • -          How did they prepare for the examination
  • -          What resources did they use
  • -          Who did they turn to for help

Sofia Empel, MLIS, CRM, CDIA+

Ms. Empel is the President of Records Update, a women-WBE certified company, which provides professional consulting, as well as information and records management support services to corporations, law firms, universities, not-for-profits, and government organizations in New York, New Jersey, southern Connecticut, and eastern Pennsylvania. Ms. Empel has 32 years of experience in the information management profession. She is a Certified Records Manager (CRM), Certified Document Imaging Architech (CDIA+) and provisionally Certified Archivist (CA). She is also a Ph.D. candidate in Information Studies at Long Island University and is expected to complete her dissertation in a records management related topic by May 2011.   Ms. Empel is a member of ARMA International; Association for Information and Image Management (AIIM); American Society for Information Science and Technology (ASIS&T); Society of American Archivists (SAA); Law Library Association of Greater New York (LLAGNY); American Health Information Management Association (AHIMA); and Health Information and Management Systems Society (HIMSS).

Lucy Rieger, MLS, CRM

Ms. Rieger is President of Library Update, a women-owned WBE certified company, which provides consulting and support services to corporations, law firms, accounting firms, universities, government agencies, and not-for-profit organizations that need to manage their information.  She. Rieger earned her Masters in Library Science (MLS) from Rutgers University and is a certified records manager (CRM). She served as the President of the New Jersey Law Librarians Association and is currently Vice President of Membership for ARMA's Northern New Jersey Chapter.  Ms. Rieger is also a member of ARMA International; Association for Information and Image Management (AIIM); American Association of Law Librarians (AALL); Special Libraries Association (SLA); and New Jersey Law Librarians Association (NJLLA), President 2007-2008.

Henry Gozdz, MLS, CRM,

Henry Gozdz, CRM,  has a BS in Business Administration from Ramapo College of New Jersey and an  MLS from Rutgers University. He has been employed by the NJ Judiciary as Law Librarian since 2000 and has served as the Records Coordinator for the Bergen Vicinage since 2007.  He is currently the Chair of the Statewide Records Coordinator Committee.

January Networking Event

2012 Networking Event


It was a great beginning for the new year. Over 45 members and guests attended our January networking event this year. The meeting was held at the Gran Centurions in Clark NJ. This was a fun filled evening where RIM professionals were able to relax, network with one another and spend time meeting new contacts in the industry. This was also a great opportunity to meet with some of the evening's sponsors to learn all about their latest and greatest services and solutions. Vendor sponsors included Recall, Archive Systems, Iron Mountain, GRM, Intellishred and Allstate Information Management. Each had displays set up with info to share and fun giveaways to hand out. After a dinner buffet, Chapter President Lori Green and VP of Programs, Jacki Cheslow announced the latest chapter updates and reviewed some of our upcoming events.  Towards the end of the evening, generous prizes provided by our sponsors were raffled off. Some very lucky attendees walked away with a Kindle Fire, Nook e-reader, Nikon digital camera, headphones, giftcards and more. ARMA 2011 Conference: Washington DC

Some of our chapter's board and members attended the 2011 ARMA International Conference in Washington DC. 5 board members attended chapter leadership educational sessions and the leadership awards ceremony on the Sunday before the conference began.

Chapter President, Lori Green stopped by one of the vendor booths and took part in their interactive, "Ready. Set. Jump!" display.

CIO: Why the Title is a Lie
Presented by Barclay Blair

Every day in the courts another organization is forced to admit that it has lost control of its information. That it doesn't know where it is, what it is, or how to get to it. That it is stored in a way that way that makes it nearly impossible to retrieve and questions its trustworthiness. This reality can be traced to a single problem: the title" CIO" is a lie.  

Despite the title, Chief Information Officers are not responsible for information. Rather, their responsibility lies with the systems. So, if the executive with the word "information" in their title is not responsible, then who is?

This session will examine how this fundamental breakdown in corporate governance leads to failure. It will build its case through a variety of current court cases, anecdotes, and statistics, and will propose alternative governance structures to address the problem. We will explore:

  • The business and legal consequences of this apparent gap in corporate governance
  • Whether the role of the CIO should change, whether a new executive role should be created, or if another member of the executive roundtable should take on new responsibilities in order to tackle this problem
  • How current attempts at many organizations to create enterprise "data maps" illustrate the gaps between the way business, IT, and legal view information
  • How newer technologies like social networking only make the challenge greater and more complex
  •  How technologies like SharePoint that put more control in the hands of the user may reduce the burden on IT, but create new compliance and business problems

Barclay T. Blair is a consultant to Fortune 500 companies, software and hardware vendors, and Barclaygovernment institutions, and is an author, speaker, and internationally recognized authority on a broad range of policy, compliance, and management issues related to information governance and information technology. Barclay has led several high-profile consulting engagements at the world’s leading institutions to help them globally transform the way they manage information. He is the president and founder of ViaLumina. Barclay is the author of three books, including his most recent, Information Nation (Second Edition). He is currently working on his forth, to be published by John Wiley and Sons in 2011.


The chapter board and members collected food donations for the Middlesex County food pantry. Thank you to everyone kind enough to donate to this great organization.

Managing Email as Records
Presented by Dr William Saffady

Email management in all of its aspects retention, legal and discovery issues, storage and archiving of messages, backup, indexing tracking, email security is arguably today's most significant and widely acknowledged records management problem.   According to ANSI/ARMA TR-02, Procedures and Issues for Managing Electronic Messages as Records, policies for retention of email messages and their associated metadata are essential for compliance with legal/regulatory requirements and to support the continuing conduct of an organization's business. An organization must identify email messages that are considered official copies and preserve them in a reliable, secure manner that will ensure accessibility throughout the retention periods. This presentation reviewed issues and concerns associated with email retention and will discuss practical solutions for addressing these concerns.

William Saffady is a professor at the Palmer School of Library and Information Science, Long Island University. He is the author of over three dozen books and many articles on information management topics, including records management, digital document management, information storage technologies, and library automation.    

His latest books are Records and Information Management: Fundamentals of Professional Practice, Second Edition, which is the most widely used textbook on records management, and Cost Analysis Concepts and Methods for Records Management Projects, Second Edition. Both titles were published by ARMA International (the Association of Records Managers and Administrators) in 2011. Other recent books include Managing Electronic Records, Fourth Edition, which was published by ARMA International in 2009, and Digital Document Management, which was published by ARMA International in 2007. In addition to teaching and writing, Dr. Saffady serves as an information management consultant providing analytical services and training to corporations, government agencies, and other organizations. Dr. Saffady is a Fellow of ARMA International.

June 2011 Meeting

As we wrapped up our 2010-11 program year, this June meeting proved to be a memorable  event. First off was NextPages’s Scott McLaren who gave a mini-presentation on A New Approach to Proactive Information Governance for Shared Drives and Desktops.  This was followed by member appreciation awards. Finally we ran a segment called RIM Anonymous. Moderated by our own Tony Abbate, attendees shared work experiences on topics such as: work place challenges, achievements, professional development and ethics.

Mini-Presentation:

A New Approach to Proactive Information Governance for Shared Drives and Desktops

Over 80% of stored unstructured content has no business value – nor legal need for retention. Migrating these huge volumes to a centralized repository is cost-prohibitive and operationally impractical. Learn how a “managing in-place” strategy dramatically reduces the volume of unstructured content – and why your organization should re-think its information governance strategy regarding unstructured content. You will also hear about customer experiences regarding the issues around unstructured records.


Scott McLaren, Northeast Region Manager
joined NextPage in January, 2011, to manage the increasing demand for a pro-active approach to managing content in-place. Scott has over 25 years of sales experience in the information technology industry with a successful track record of delivering enterprise solutions to large and mid-sized corporations. Prior to NextPage, Scott was responsible for sales of Service Oriented Architecture Foundational software technology at IBM. Scott also enjoyed successful positions with Vitria Technology, Viasoft Inc. and Folio Corporation. Scott is a graduate of Penn State University Engineering School.

Records Management, Thirving in Challenging Times
Presented by Jim Stephenson, Iron Mountain

The role of records management in organizations is rapidly changing.  Depending on one's perspective, these shifts in priority and focus may represent  threats or opportunities for the records management professional.  Mr. Stephenson drew upon his experiences in records management, information technology, and business consulting to provide his insight into the dynamics of the current market.  He provided specific examples of best practices, offered guidance for the effective management of digital assets, and discussed real-world examples of both effective and not-so-effective records management practices.  His goal was to share information that will immediately help members become more effective in their career.

This presentation addressed current issues and concerns of information management. Jim shared proven strategies and business directions for successful RIM projects and simple rule of thumb "metrics" to help guide business decisions. He explained the value in the discipline of information management and how the role of Records Management as a whole has changed and predict possible new future directions in information management technologies. RIM manager's were encouraged to develop their skill set as the technology requires.


Jim Stephenson is a management consultant and solutions architect who has worked with Iron Mountain for five years.  He is currently responsible for leading document management and business process improvement initiatives for Iron Mountain's largest North American customers.  Jim has more than 30 years of experience in consulting, process analysis, and technology management.

Records Management in a Social Media World
Presented by Dr. Pratricia C. Franks  

"Social media" is an umbrella term that encompasses a number of emerging technologies that can facilitate some type of activity between individuals and groups both inside and outside the organization. Social media tools include blogs, wikis, podcasts, social networking sites, and sites to share photos and bookmarks.  Government agencies on all levels leverage social media to collaborate with co-workers and to interact with citizens, and companies use social media to inform and influence consumers.  Even heavily regulated firms, like those in the financial sector, know social media can help them gain a competitive advantage.  

Dr. Pat Franks discussed the impact of social media on records management and present practical tools and strategies currently employed to control records created through or residing in social media technologies. 

Patricia C. Franks, Ph.D, CRM

Dr. Patricia C Franks is a certified records manager and coordinator of the Master of Archives and Records Administration (MARA) degree offered through the School of Library & Information Science at San Jose University, San Jose, CA.  Pat was the Project Leader for the ARMA/ANSI standard on the Implications of Collaborative, Web-based Technologies in Records Management.  She is the author of a number of articles, including Understanding Web 2.0 and Challenges for the Records Manager.  Her most recent research project resulted in a report for the IBM Center for the Business of Government titled How Federal Agencies Can Effectively Manage Records Created Using New Social Media Tools.

ARMA Nov 2010

Records Management is a critical component of managing legal holds and meeting the duty to preserve information that is potentially relevant to litigation.  A proactive and collaborative process can facilitate reducing risk and minimizing costs.  This presentation, in collaboration with the East Coast Association of Litigation Support Managers (http://www.ecalsm.org/), provided stories from the field and tips to consider when addressing the needs of Preservation, Legal Hold and Data Accessibility.

Making Enterprise Content Management Work

Enterprise Content Management (ECM) has evolved over the past few years to become more than a glorified document management system. Many companies see ECM as a holistic, enterprise-class management solution capable of accessing and integrating a wide variety of information types.  A number of governance, risk and compliance (GRC) related issues are also driving corporate users toward ECM, including information integrity, process integrity, controlled access and information retention requirements. ECM has become a means to limit the access and distribution of proprietary and private information outside the organization, helping to ease security concerns.  In this session users learned:

The business issues involved in information governance, risk and compliance
How ECM has evolved to include tools such as e-Discovery, workflow management, and document auditing, and how they have significantly contributed to moving information governance initiatives forward in many IT shops
How ECM manages unstructured data and balances access to information with proper security measures

Named a Fellow of ARMA International (FAI) in recognition of distinguished service to the information management profession.
 
Julie Gable has over 25 years of professional experience with real-world approaches to paper and electronic records management. Her specialty is strategic planning for electronic records management, including business case development, cost-benefit analysis, requirements definition and work plan prioritization. Her project experience includes defining policy and practices for records classification, indexing, retention and disposition. She has assisted many entities with specification and selection of records management software solutions. 

Over 20 years ago, Gable founded Gable Consulting LLC, an independent firm that specializes in electronic records management strategy and implementation. The company continues to serve clients in pharmaceuticals, government, financial services and other industries, delivering practical, real-world approaches to information management challenges. Gable is the Associate Executive Editor of ARMA's Information Management Journal. Her articles have appeared in The Records and Retrieval Report, Imaging World, The Dallas News, Finance Canada, Forbes, and CIO Decisions.

The Top Ten (10) Issues in Records Management Today

This session presentation highlighted the ten biggest issues in records management today.  Each issue was be in the context of records management's contribution to improved business performance and improved corporate governance through better management of information assets.

David Stephens is an internationally recognized authority in the records and information management field.  Since 1995, he as been vice president for records management consulting at Zasio Enterprises, Inc., a leading records management company.  His most recent book is Records Management: Making the Transition from Paper to Electronic (ARMA International, 2007).  He has spoken to thousands of records managers throughout the United States and in some twenty countries in Europe, Asia, Latin America and the South Pacific.  Mr. Stephens is a Certified Records Manager, and in 1989-1990 served as President and CEO of ARMA International, a professional association representing over 10,000 records managers from some thirty-five countries throughout the world.  David Stephens was inducted into the Company of Fellows of ARMA international in 1992.  He may be contacted at: dostephens@zasio.com.

ARMA NNJ 50th Anniversary Celebration

We celebrated our 50th year Anniversary celebration on June 16, 2010. Our theme for the evening, "On the Shoulders of Giants" reflected on the historical strength of our chapter, our decades of accomplishment and, our continued contribution to records management.
 
The special evening included a review of the chapter's accomplishments, scholarship award recognition, our company sponsors and of course, our service anniversary recognition. We reviewed over 50 years of our chapter to the music of the decades while networking with our peers.
